If you exhibit at both shows, you will receive a 10% discount on your booth space at both shows. This is indicated by the price shown in the discount column for each show. Any booth larger than 20X80 or wider than 20 feet will be sold by the square foot at a price of $4.50 a sq. ft. If a larger space is needed, contact
Gerald Young at gerald@vatat.org to discuss space availability and pricing. Any company choosing to display large equipment or having additional needs for set up will need to communicate these requirements prior to June 1 to ensure adequate arrangements can be made.
BOOTH SPACE SUPPLIES:
The above priced spaces are piped and draped and include one 6’ draped table, two chairs, a small trashcan, and a sign. If your space is larger than a standard 10X10, tables, chairs and trashcans will be supplied at a rate of one set per 100 sq. ft. rented. You may order more equipment as necessary from the convention decorating service.
CHOOSING A BOOTH SPACE:
You may select up to three choices for booth spaces using the included floor plan, however, you are not guaranteed any of these locations. The spaces will be assigned on a first-come, first-served basis. Please secure a location soon to have ample booth spaces to select from. Please check the FFA Web site under the ‘Convention’ menu or the VATAT Web site under the ‘Conference’ menu to determine which booths are available before submitting your form.
RULES AND REGULATIONS
DEPOSIT AND PAYMENT:
A deposit of $100 per 10X10 spaces being reserved is required and must be received within 7 business days after the day the reservation is made. Checks should be made payable to VATAT EXHIBITS. If a deposit is not received within 7 business days, a space will not be reserved. Payment for the exhibit space must be paid in full by July 1 for the FFA Convention and the Ag Teachers Conference. All exhibitors must have a zero balance before they will be allowed to set up. Make checks payable to VATAT Exhibits 614 East 12th Street, Austin, TX78701.
CANCELLATIONS:
To receive a full refund of payments for one or both shows, you must cancel by June 1. To receive all but the deposit refund you must cancel by June 15. Cancellations after these dates will not receive any refund.
SALE, DISPLAY AND DISTRIBUTION OF PRODUCT:
Exhibitors may sell products from their booths with the exception of food/drink/snack/candy. Food, drink, snacks and candy may be given away in sample size portions at the FFA Convention only. We remind vendors that these events are youth and teacher conventions. Therefore, all merchandise must be appropriate for that audience. The FFA and VATAT Associations have the right to determine if merchandise is inappropriate and to dismiss any exhibitor that sells or displays inappropriate merchandise. Those exhibiting items bearing the FFA logo or name must have a current licensing agreement on file. If you have any question in regards to the sale, display or distribution of your product, please communicate your questions before the event.
At the Ag Teachers Conference, the annual Taste of Texas will take place on Tuesday, July 27, from
7 a.m. – 9 a.m. and 11 a.m. – 1 p.m. The purpose of this is to allow teachers to sample food or drink that vendors offer as fundraising items. This is the only time these vendors will be allowed to have samples of their items in the exhibit area. All vendors will be allowed to have mints and gum in their booths during the week, but it cannot be a product that is sold by that vendor.
FOOD VENDORS AND TASTE OF TEXAS:
If you will be serving items on Tuesday during the Taste of Texas, we will need to be notified of this by June 15. Once we receive the rules/regulations from the Galveston Island Convention Center on serving food, we will send that information to the vendors that will be serving food or drink items. We will also need a list from each vendor no later than July 1st of what you will be serving on Tuesday afternoon. You may use addition items such as bread and other condiments if approved by the VATAT. We will get back to you in the first week of July to inform you if your items were approved. When you arrive at the conference, each vendor will supply management with a brochure showing the items you sell. You will not be allowed to serve an item that is not listed in the brochure.
EXHIBIT SPACE:
Your exhibit must stay in the space you are provided. If there is sound in your booth, it cannot disturb other exhibitors or be heard outside of your booth. The ends of your booth cannot block the aisle view of exhibitors on either side of you. Keep in mind that some exhibitors may set up late. We ask you to please not expand your exhibit past your reserved space.
CONVENTION DECORATING INFORMATION:
Each company or organization choosing to exhibit will be sent an information packet on freight shipment, electricity, additional equipment, etc., from the official convention decorator in May. HOLD HARMLESS:
Security personnel will be provided 24 hours a day at each show. In consideration of this service, exhibitors agree to save harmless, indemnify and release the Texas FFA and VATAT, and their officers and agents, of and from all claims, demands, causes of action, damages, liabilities, theft, vandalism, whatsoever; against the Texas FFA and /or VATAT by reason of any transaction, occurrence, or event arising out of or related to the events in any way.
